Position Summary
Under the supervision of the Senior Vice President (SVP), the Executive Assistant will provide general administrative management and support to the Executive Office. S/he will assist with meeting coordination, including all logistics related to Board meetings and retreats. S/he will need to develop a strong understanding of conservation issues.

Responsibilities
- Maintain SVP's appointment schedules by scheduling meetings, conference calls, speaking engagements, and travel;
- Coordinate all aspects of meeting preparation for SVP, including communications with relevant staff, logistics, agendas and materials preparation, as well as meeting follow-up, including tracking reports and correspondence;
- Coordinate the scheduling, logistics and preparation for all Board meetings and retreats, including assembling and mailing of pre-board meeting materials and taking (and distributing) meeting minutes;
- Serve as point person for record retention;
- Assist on preparation for monthly development staff meetings, including communications with staff, logistics, and materials preparation, as well as meeting follow-up, including minutes;
- Assemble Development department monthly update and monthly calendar reports;
- Assist SVP and Associate Director, Institutional Giving with annual budgeting process for Development department;
- Assist SVP and Associate Director, Institutional Giving with quarterly tracking of budget performance;
- Develop familiarity with financial procedures to assist Development team with accounting and budget processes;
- Generate expense reports for cash reimbursements and monthly American Express invoices;
- Assist in the preparation of PowerPoint presentations;
- Record, share and file meeting reports;
- Manage SVP's phone calls and contact information;
- Read and route correspondence;
- Maintain the supply of promotional items for SVP's use;
- Develop a strong understanding of rainforest conservation issues in order to assist with internal and external communications;
- Provide general administrative support including filing, fielding calls, faxing/copying, ordering supplies, and organizing for the SVP; and
- Other duties as assigned.

Qualifications
- Bachelor's degree preferred;
- Minimum of 3 - 5 years of administrative experience; non-profit experience a plus;
- Must have excellent computer skills (comprehensive understanding of Microsoft Office including Excel, PowerPoint as well as Internet) and comfort working with database programs; knowledge of Raiser's Edge donor tracking software preferred;
- Excellent writing and verbal communication skills;
- Must be able to work independently, multi-task and work under tight deadlines;
- Dependability, diplomacy, good organizational skills and a sense of humor are necessary; and
- Spanish language fluency preferred.
