The Rainforest Alliance (RA) is issuing this Request for Proposal (RFP) for the selection, implementation, operational support, and maintenance of a commercially available off-the- shelf (COTS) cloud-based Financial Management System (FMS) that’s designed specifically for Global Accounting. This RFP seeks offers for a potential Multiple-Award Indefinite Delivery/Indefinite Quantity (IDIQ) Contract with time-and-material, labor-hour, and firm-fixed contract components.

The enterprise system must be available via software-as-a-service (SaaS) and provide a suite of tools to support GAAP standards and the NGO market. The system must support all functions pertaining to global Finance and Accounting, Grant/Contracts Management and Project Accounting. The system must enable users to share information across the organization using a shared database, with seamless integration to other critical ancillary systems to include, but not limited to, Customer Relationship Management, Human Resources Management, RA’s Traceability system MultiTrace, and Payroll. The system must be ready for cut-over by December 31, 2020. The Functional Requirements Document, attached to this RFP as Attachment A, lists these requirements in detail. Context for the need for this system as well as detail on what current systems are used at RA are listed in the Summary of RA’s Current State Assessment, attached to this RFP as Attachment B.

RA is seeking a solution that includes an engaged Implementation Partner as a part of or lead Offeror to this RFP.

Offerors must direct questions concerning the solicitation in writing via email to the Point of Contact (POC) listed below. RA will not accept telephonic questions or inquiries. Offerors shall submit questions by August 26, 2019 to allow time for responses to be prepared. RA will accept questions up to the deadline of submission of proposals, but time may not permit responses prior to deadline.

Questions relating to the RFP must be submitted electronically to Megan Fries, no later than 5:00 PM ET, August 26, 2019. The subject line item shall read: Questions (Core FIN ERP).

All Implementation Partners interested in submitting a proposal under this RFP shall notify RA by emailing RA’s POC no later than 5:00 PM EST, August 26, 2019. The subject line item shall read: Intent to Propose (FMS). All Offerors that intend to bid should sign and return the attached non- disclosure agreement (Attachment D) to their electronic correspondence expressing an interest to bid.

Implementation Partner Case software demonstrations are required for applications that are determined to be in the competitive range. Case Study demonstrations will be scheduled from October 8-10, 2019 from 8 AM – 1 PM EST. As RA is a global organization with two headquarters, demonstrations must take place via webinar. All demonstrations will be recorded.
