Administrative Coordinator -- ICAA II & NZDZ
The Rainforest Alliance is an international nonprofit organization that works to conserve biodiversity and ensure sustainable livelihoods by transforming land-use practices, business practices and consumer behavior. Based in New York City, with offices throughout the United States and worldwide, the Rainforest Alliance works with people whose livelihoods depend on the land, helping them transform the way they grow food, harvest wood and host travelers.
The Initiative for Conservation in the Andean Amazon (ICAA) II Project works to conserve biodiversity and enhance livelihoods by supporting sustainable land management practices. The ICAA II Project is cross-cutting, involving the sustainable forestry, agriculture and tourism programs of the Rainforest Alliance. The project seeks to support the three broader objectives of the ICAA II program including: a) reduce rates of deforestation and biodiversity loss; b) enhance effective performance in key aspects of natural resource governance; and c) increased livelihood quality and sustainability. Rainforest Alliance has two distinct landscapes: Sucumbíos, Ecuador and Cusco/Madre de Dios, Peru.
The Administrative Coordinator is responsible for providing project administration support to managers and senior staff related consultant and partner management, financial processing and budget management, and activity coordination.
The Net-Zero Deforestation Zones (NZDZ) Project, a complement to the ICAA II project, is a cross-programmatic initiative that will span our climate, agriculture, forestry and evaluation and research divisions. This initiative seeks to reduce net greenhouse gas emissions in key forest regions of Ecuador, Colombia and Peru. With the support of our local partners, the Rainforest Alliance will develop demonstration pilot projects that promote net zero deforestation, reduce forest degradation and serve as replicable models for achieving each country’s deforestation goals. Through the development of tools, technologies and methodologies, the training of over 5,000 local experts, and capacity building of local organizations, 1.5 million acres (600,000 hectares) of biodiversity-rich forestland will benefit from improved forest sector governance and land use planning.
- Assistance such as placing phone calls, completing payment requests, travel advances, expense reports, and other job-related forms;
- Provide support to ICAA II Managers with scheduling events, activities and making sure their calendars are updated weekly;
- Provide support in the organization and coordination of events, workshops, trips and meetings, including but not limited to: contacting vendors, evaluating proposals, coordinating itineraries, etc.;
- Maintain databases of Project information, including financial and contractual information;
- Co-manage the project budget and keep track of Consulting Agreements, MOUs, their deliverables and payments;
- Prepare Consulting Agreements and Memorandums of Understanding -MOUs based on the Terms of Reference provided by the supervisor;
- Appropriate filing of digital and physical files relevant to the project, such as: contracts, proposals, consultancy information, etc.;
- Translation of documents Spanish-English and English-Spanish;
- Draft letters and other communications; and
- Other duties as assigned.
- University degree in Business Administration, Accounting or related field preferred;
- 3 -4 years of work experience in similar positions;
- Experience managing budgets and consulting contracts;
- Excellent interpersonal communication skills to deal with a diverse clientele and staff;
- Ability to work within a team structure as well as independently, be creative, take initiative and be attentive to detail;
- Courteous and professional demeanor with experience providing customer service;
- Experience in organizing and filing information;
- Ability to follow up on tasks to completion;
- High level knowledge of Word, Excel and Outlook;
- Fluent Spanish; clear speaking voice and proficient English language skills; and
- Flexibility and ability to work in a busy environment.
Commensurate with experience.
