Administrative Assistant -- Finance & Administration
The Rainforest Alliance is an international nonprofit organization that works to conserve biodiversity and ensure sustainable livelihoods by transforming land-use practices, business practices and consumer behavior. Based in New York City, with offices throughout the United States and worldwide, the Rainforest Alliance works with people whose livelihoods depend on the land, helping them transform the way they grow food, harvest wood and host travelers.
The Administrative Assistant will be responsible for providing general administrative and operational support to the Indonesia office. S/he will provide logistical support for travel and events, process payment requests and invoices in a timely manner and assist with general administrative responsibilities.
- Provide full day reception and phone coverage, welcome visitors, and manage couriers and deliveries;
- Maintain and update employee telephone lists;
- Maintain all office equipment and arrange technical support if needed;
- Work with vendors to request product quotes and order supplies as needed for the Bali office;
- Maintain the smooth running of all office equipment and arrange for technical support when needed;
- Post outgoing mail, sort and distribute incoming mail, faxes and packages upon receipt;
- Responsible for the mailing and shipping of all outbound packages;
- Coordinate printing of marketing materials and distribution of business cards;
- Assist Office Associate with organizing schedules for security/housekeeping staff;
- Assist Accounting with banking transactions, tax reporting, and payment of regular office expenses (water, phone, electricity);
- Assist in the coordination of staff events, trips, workshops and meetings; process related invoices;
- Provide general staff support; and
- Other duties as assigned.
- Bachelor of Business Administration or related field;
- 1-2 years of professional work experience, preferably with international NGOs;
- Written and verbal proficiency in English language required;
- Friendly, personable, can-do attitude, customer service oriented;
- Good communication and interpersonal skills;
- Ability to interact with a diverse clientele and staff;
- Courteous and professional demeanor with experience providing customer service;
- Experience in organization and information management;
- Attention to detail and ability to follow through on tasks to completion;
- Excellent computer skills (Microsoft Office Suite, Internet savvy, software and hardware installation, etc.);
- Must have initiative to respond to a diverse staff and attend the needs of the organization with minimal supervisions; and
- Ability to work within a team structure as well as independently.
Commensurate with experience.
