Position Summary: 

The Payroll Associate will be responsible for ensuring that Rainforest Alliance’s payroll is transmitted timely and accurately.  S/he serves as a key member of the finance and accounting team and will coordinate the activities of U.S. and International payroll providers. S/he also oversees the annual production of W2’s and all other ancillary reports. S/he serves as a key liaison between Human Resources and Finance & Accounting.

Responsibilities: 

Payroll

  • Serve as primary contact with ADP and other payroll providers/consolidators (U.S. and International);
  • Serve as key liaison between the Human Resources Department (including all local office HR Representatives) and Finance Department to maintain accurate employee payroll information;
  • Process US payroll;
  • Process International payroll as applicable;
  • Oversee and monitor local (non-US), and expat/tcn payroll, and process as needed; work closely with local HR Representatives on new hires and end of service payments;
  • Produce/oversee payroll related reports e.g. uploading 403b file to insurance providers;
  • Review deduction & benefit reports and work with Human Resources for reconciliation;
  • Monitor global payroll systems and conduct periodic audits of local (non-U.S.) office payroll;
  • Compile payroll related work schedules for all internal and external annual audits; and
  • In a timely manner, input new hire information and also process existing employee change information into Microsoft Dynamics.

Consultants

  • Monitor and track U.S. consultant payments;
  • Responsible for issuing 1099 forms and keeping permanent W-9 files for consultants; and
  • Other duties as assigned.
Qualifications: 
  • Bachelor's degree;
  • 4 years’ experience in payroll, international experience a plus; 
  • Solid understanding of federal and state payroll and payroll tax laws;
  • Experience with payroll systems; ADP preferred;
  • Knowledge of Expat & TCN taxation issues preferable;
  • Experience with a general ledger/payroll interface;
  • Proficiency with Word and Excel;
  • High level of attention to detail;
  • Familiarity with a multi-office, multi-national organizational environment required; non-profit experience a plus;
  • Excellent interpersonal and written communications skills; and
  • Ability to interact professionally with culturally and linguistically diverse staff and clients.
